Mandarich Law Group, LLP is a leading debt collection law firm with offices located in multiple states. We are currently recruiting an Executive Assistant for our Chicago office.

This a full-time, In-office position. Base schedule is Monday thru Friday 8AM to 5PM, in-office.

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our firm Partner. The ideal candidate will manage schedules, coordinate meetings, handle correspondence, and perform various administrative tasks to ensure the smooth operation of the office and enable executives to focus on strategic priorities.

Responsibilities:

• Manage and maintain Partner’s calendar, scheduling meetings, appointments, and travel arrangements
• Prepare and organize documents, reports, presentations, and correspondence. 

• Screen and prioritize incoming communications, including emails and phone calls.

• Coordinate and facilitate meetings, including logistics, and agendas.
• Handle confidential information with discretion and professionalism.
• Support special projects and initiatives as assigned.
• Liaise with internal staff and external partners to ensure effective communication.
• Assist with expense reports, invoices, and budget tracking if needed.
• Perform general administrative tasks such as filing, photocopying, and data entry.

Requirements

• 7 years of proven experience as an Executive Assistant or similar role.
• Banking industry experience is highly desirable.
• Excellent organizational and time-management skills.
• Strong written and verbal communication abilities.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to multitask and prioritize in a fast-paced environment.
• Discretion and confidentiality regarding sensitive information.
• Attention to detail and problem-solving skills.
• Bachelor’s degree preferred.
