Position Summary

The Environmental Intelligence Coordinator is responsible for maintaining accurate space and environmental intelligence data, coordinating internal moves and space changes, and managing room bookings and payments across the organization. This role bridges operations, project teams, and environmental intelligence strategy to ensure spaces are utilized efficiently, changes are coordinated smoothly, and costs are controlled.

The position serves as a centralized hub for space-related information, logistics, and coordination across multi-site and contract-based environments.

Key Responsibilities

Environmental & Space Intelligence Management

  • Maintain and update the organization’s space inventory, layouts, and utilization data.
  • Track room classifications, square footage, and functional use.
  • Support data-driven recommendations for space optimization.

Room Booking & Payment Management

  • Directly manage room and space reservations for meetings, training, projects, and events.
  • Coordinate contracts, invoices, and payments related to room usage.
  • Track usage costs and provide reporting to leadership.

Move & Relocation Coordination

  • Serve as lead coordinator for internal relocations and space changes.
  • Schedule and coordinate with IT, operations, vendors, and impacted teams.
  • Ensure minimal disruption to ongoing operations.

Utilization Auditing & Rounding

  • Conduct periodic physical or virtual audits of spaces.
  • Identify underutilized areas, overcrowding, or layout improvement opportunities.
  • Flag misplaced or surplus equipment.

Standards & Environment Support

  • Support furniture, equipment, and layout standards.
  • Coordinate ordering and installation where applicable.
  • Ensure alignment with safety, quality, and operational standards.

Project & Operations Support

  • Provide space and environmental data to project and service order managers.
  • Support planning for expansions, reconfigurations, or new initiatives.

Reporting & Continuous Improvement

  • Produce reports on utilization, bookings, costs, and trends.
  • Recommend process and system improvements.

Qualifications & Requirements

  • 3+ years of experience in space coordination, facilities coordination, operations coordination, or project support.
  • Strong logistics, organization, and multitasking skills.
  • Experience working with databases, spreadsheets, or space/work order systems.
  • Strong communication skills.

Preferred Qualifications

  • Experience with AutoCAD, Revit, or similar layout / spatial tools.
  • Experience in healthcare, technical services, facilities, IT services, or complex environments.
  • Background in project coordination or operations analytics.
